How to use library meeting spaces:

Study rooms are available on a first-come, first-served basis. Just sign in on the door with the time you started. You are guaranteed one hour per day with unlimited extensions if nobody is waiting.

The Pritchard Family Meeting Room has a capacity of 24 seated at tables or 50 in rows of chairs.

Preference will be given to library or library-related groups for use of the meeting room. When not being used by the library, the meeting room is available free of charge for outside groups. Meetings held outside of library hours are available only to Hinckley library cardholders over the age of 18 who assume responsibility for the group and will be in attendance at the meeting. Groups without a library cardholder may reserve the room for use during library hours only. Groups may reserve the meeting room up to 90 days in advance with a maximum of three reservations per quarter. The library reserves the right to change or cancel room reservations.

 

In accordance with the American Library Association’s Library Bill of Rights and its interpretation pertaining to meeting rooms, the library does not limit use of the meeting room based on the subject matter of the meeting, or on the beliefs or affiliations of the meeting’s sponsors. Permission to use the meeting room in no way constitutes an endorsement of any group’s policies or beliefs. Any publicity for the event must include the disclaimer, “This event is not sponsored by the library.”

 

Guidelines

  • Room reservation requests must be made through this form. Technical assistance is available at the library. Please check the calendar below to make sure your chosen time is available before making a request.

  • Meetings must be open to the public and free of charge. No collection of money, fees, or donations can take place unless the event is a library sponsored fundraiser.

  • Social events are not allowed. These include but are not limited to parties and social gatherings.

  • Meetings and attendees must not disrupt library operations.

  • Meetings are subject to fire code and occupancy limits.

  • Individuals who reserve the meeting room are responsible for setting up and cleaning the room and equipment. All groups making crafts must cover the tables.

  • The library will not provide any consumable supplies.

  • Groups composed of members under the age of 18 must have at least two adult chaperones in attendance at all times.

  • Meeting room users are responsible for complying with the library’s Conduct Policy with provisions of the Americans with Disabilities Act and all other federal, state, and local laws, ordinances, regulations, and directives.

  • Alcohol is prohibited.

  • Failure to notify the library of a cancellation at least 24 hours prior to the reservation may result in the suspension of privileges.

 

Liability

Individuals who reserve the room are financially responsible for any damages to the space, equipment, or property due to negligence or willful misconduct. Users agree to indemnify and hold harmless the library and its staff and Board of Trustees for any and all liability arising from the use of library meeting and study room spaces. The library reserves the right to monitor and access the meeting room to ensure that all policies and guidelines are being followed. The library reserves the right to suspend or revoke permission to use the room for violation of library policies. Appeals to suspensions may be made in writing to the library Board of Trustees.
